Privacy & security
One rule: nothing is recorded without consent.
Menntora records sales conversations, so we are careful with them. This page says what we do, in plain words, and lists every company that helps us do it.
Consent before every call
Before joining a client call, everyone sees one line: the call is recorded and transcribed for quality, coaching and records, and joining means they agree to the privacy policy. Pressing Join is the consent. We log it with the version of the wording. Someone who does not agree does not join.
Audio only, one track per person
Menntora keeps the sound, not the video. Each person's microphone is recorded on its own track, so the transcript knows exactly who said what.
Where your data is
Audio recordings are kept in Sydney, Australia and deleted after 30 days. They are transcribed in Microsoft's Australia East region. Transcripts and meeting notes are kept in our app's database, which is in the United States (Oregon) today.
Work sign-in only
Your team signs in with their work Google or Microsoft account. Menntora keeps no passwords. Personal email accounts can't sign in.
Invites from you, notes from Menntora
Meeting invites go from the host's own Outlook or Google calendar, the way any meeting invite does. The host gets the notes and their own tasks. Every other task goes to their support person, with the host copied. Notes, tasks and reminders come from Menntora's own address and are clearly labelled. Menntora never sends them from your mailbox.
Nothing fails silently
Every step after a call shows its status on the dashboard. If something fails, it says why. A call that ends without a recording raises an alert.
Services involved
Who handles what.
Menntora uses a small number of specialist companies. Each one sees only what its job needs.
| Service | Job | What it handles |
|---|---|---|
| LiveKit | Real-time media and recording | Live audio and video during the call; writes each speaker's audio file to our Sydney storage |
| DigitalOcean Spaces (Sydney) | Recording storage | Audio files, deleted after the retention period |
| Microsoft Azure AI Speech (Australia East) | Transcription | Audio in, transcript out; not retained by the service after the job |
| Anthropic Claude | Meeting notes (AI) | The transcript, to write the notes in your format (processed outside Australia); every quote is checked against the transcript |
| Google and Microsoft | Sign-in, calendars | Your identity, your calendar availability, and the meeting invites your calendar sends, with your permission |
| Resend | Product-sent email | Task emails and reminders from Menntora's own address, and the invite when no calendar is connected |
| Twilio | Text reminders (being switched on) | The client's mobile number and the reminder text |
| Stripe | Payments (when online sign-up opens) | Card details and invoices; Menntora never sees card numbers |
| Netlify | This website | The pages you are reading, and what you type into the register-interest form (name, work email, firm) |
| Render | Application hosting | The Menntora service and its database: meeting records, transcripts and summaries, in the United States (Oregon) |
Task and booking emails pass through our email provider, which has no Australian region. Audio recordings stay in Australia; transcripts and notes are kept in the United States (Oregon). Choosing where each customer's data is kept is coming.
Your controls
Who can see what.
- Roles: owner, admin and member, each with Sales, Support or Leader work
- Support staff see only the tasks handed to them and the calls behind them
- Coaching sessions are seen only by the coach, the person coached and the firm's owners
- A firm's Owner or Admin can create API keys for their own integrations. Each key only reaches that firm's data and can be revoked at any time.
- Disconnect your calendar at any time and Menntora stops using it straight away (you can also remove Menntora in your Microsoft or Google account)
- Best-call clips will need the person's OK before anyone else sees them Coming
