How Victor Delta Kilo handles personal information in Menntora.
Meetings are recorded and transcribed
Every Menntora meeting is recorded and transcribed for quality, coaching and the records of the business you are meeting with. Before joining, everyone sees this notice: "This call is recorded and transcribed for quality, coaching and your records. By joining you agree to the Menntora privacy policy." Joining the meeting is your agreement; we log it with the version of the notice you saw. If you do not agree, do not join — contact the person who invited you and they will find another way to help you. A recording indicator stays on screen for the whole meeting.
From the recording, Menntora produces a transcript and structured notes for the host: a summary, next steps and follow-up tasks. Menntora emails those notes to the host, and the follow-up tasks to the host's support person with the host copied, from Menntora's own address. Nothing is sent from anyone's mailbox. The same notice appears in meeting invitations and reminders.
What we collect
- Hosts: name, work email and organisation from Google or Microsoft sign-in. No passwords.
- Guests: the name they enter, their consent record with the notice version, and their audio during a recorded meeting.
- Meetings: per-speaker audio, transcripts, structured summaries, pipeline status and delivery records.
- Billing: handled by Stripe; Menntora stores the subscription status, not card details.
- Website: this site sets no tracking cookies and runs no analytics scripts at the time of writing.
Why we collect it
To run the meeting; to keep a record of it for the business you met with; for quality and coaching (the business may review its own meetings to train and improve its team); to produce notes and route follow-up tasks to the people the business has named; to send invitations and reminders; and to bill the business. We do not sell personal information and we do not use meeting content to train AI models.
Where it is stored and for how long
Audio recordings are stored in Sydney, Australia and deleted after 30 days by default. Transcripts and summaries are kept in our application database, currently hosted in the United States (Oregon), for the period the customer sets. Transcription runs in Microsoft's Australia East region. Notes are written by an AI model provided by Anthropic, which processes the transcript outside Australia and does not keep it to train its models. Task emails, invitations and reminders are sent through Resend, whose sending servers are in Japan. The services involved are listed on the security page.
Who can see it
The customer's hosts and admins, within their workspace. Support seats see only what is assigned to them. Menntora staff access meeting content only to resolve a support request, and refer to meetings by code, not by client name.
Your rights
Guests and hosts may ask what is held about them, ask for correction, or ask for deletion, by emailing support@menntora.com. Requests about a specific meeting are passed to the customer who holds the record.
